Procurement Administrative Assistant

The PAA will be responsible to support the company’s procurement & logistics operations. The successful candidate will be able to track purchase orders, create new part numbers, arrange shipments and other procurement-related tasks in order to ensure timely delivery of purchased goods.
Essential Job Functions:
- Negotiate with suppliers to secure the best prices and terms for the company
- Issue purchase orders as required and obtain necessary approvals
- Create and update delivery schedules for project managers
- Collect information as needed for procurement reports
- Reconcile invoices in a timely manner
- Coordinate and book transportation for delivery of products
- Collaborate with Finance team on new part number creation & various reports
- Generate reports & analysis to track purchase orders, invoices, freight and other purchasing information.
- Follow through on tasks assigned by the Procurement Manger
- Support project administration as Tompkins Robotics required
Job Requirements:
- Proven work experience in procurement or general administration
- Proficiency with Microsoft Office software, in particular Excel
- Familiarity with entering data into a company’s management software; Experience with NetSuite ERP is a plus
- Able to give attention to details across multiple projects
- Able to work in a constantly changing environment and adapt as needed
- Comfortable working with spreadsheets and data
- Highly motivated with good business instincts, active participation, possesses dynamic mindset and time management skills
- Willingness and ability to accept additional responsibilities as required to ensure the successful evolution of Tompkins Robotics
- Associates degree or higher in business administration or related major
